Work Schedule: Monday Friday 8:30am 5:30pm

DUTIES

Conduct the daily opening duties of the administration department, including preparing the copy room for use, stocking the board room with amenities, and delivering newspapers to the appropriate offices.

Greet and direct departmental callers and visitors to the intended recipients and appropriate locations, respectively.

Perform various duties including, but not limited to, ordering monthly employee birthday cakes, coordinating the distribution of seasonal sporting event tickets to employees, updating deposit rate sheets and the employee phone directory, proofreading and editing nonstandard member letters, and maintaining departmental files.

Process credit card expense reports for designated employees and assist the senior administrative assistant with processing expense reports for upper management.

Coordinate business travel arrangements, including conference registration, lodging, airline reservations, ground transportation, per diem, and related expense reporting for designated employees.

Coordinate and approve the purchase, delivery and distribution of the organization's office and banking supplies.

Assist the senior administrative assistant with employee Notary Public processes, including the coordination of application submissions, supply orders and distribution, and maintenance of administrative records.

Provide Notary Public services to employees and members, as needed.

Conduct the organization's change management procedures, including proofreading and editing forms, and communicating information to the review team and employees.

Assist with internal communication and other related tasks pertaining to the organization's Accidental Death & Dismemberment program.

Perform special assignments, as needed.

QUALIFICATIONS

Common practices within an executive office.

Proficient in arithmetic and English grammar, spelling, punctuation, and composition.

Operations of common office equipment including computers, multi-function telephones, printers, and copiers.

Intermediate written and verbal communication skills; attention to detail.

Intermediate Microsoft Office Suite (Outlook, Word, and Excel) skills.

Intermediate research, planning, and organization skills.

Intermediate data analysis and problem solving skills.

Project a professional and knowledgeable demeanor.

Maintain strict confidentiality of Credit Union business matters.

Ability to type 40 words per minute.

High school diploma, GED, or vocational equivalent required; Associate's degree preferred.

A minimum of two years of work experience in an executive office or similar environment required.

Valid State of Texas driver's license required along with valid automobile liability insurance policy that meets or exceeds required limits of liability coverage.
